Quote lifecycle and quote expiry are related, but they are not the same thing.

Lifecycle status

The quote record can move through configured business states such as draft, sent, viewed, accepted, or rejected depending on the workspace status configuration. The exact label and color can be customized, so use the status shown in your workspace.

Expiry is date based

A quote can be considered expired because its valid-until date has passed while it was still waiting for a decision. Expiry is therefore calculated from date and open state rather than needing a manually maintained expired status row. This avoids a common contradiction where a quote says “Sent” in history but somebody also has to remember to move it to a separate expired status exactly at midnight.

Automation around expiry

Lynka handles the operational follow-up with two built in rules: Quote expires soon finds open quotes approaching the valid-until date. Quote expired without decision finds sent or viewed quotes that passed that date without a customer decision.

Accepted and rejected quotes

An accepted quote can proceed to invoicing. A rejected quote remains a historical commercial record and should not be deleted simply to clean the list.

Why this distinction matters

Reports such as Quotes Expiring Soon need the validity date. Reports such as Quotes by Status need the business status. Combining those into one overloaded field makes both questions harder to answer correctly.

If a quote looks expired unexpectedly

Check the valid-until date, workspace timezone, current business status, and whether the quote was revised. Do not fix the display by changing a business status unless the customer decision actually changed.
