The Chart of Accounts Balances report summarizes balances across the account structure without requiring you to read every Journal line. It is useful when you want an account-level overview before deciding where to investigate.

When to use it

Use this report when:
  • reviewing the account structure after setup
  • checking which accounts currently carry balances
  • looking for unexpected negative or positive positions
  • deciding which account to open in the General Ledger
  • reviewing finance setup before or during period close

It is not a transaction history

The report summarizes positions. It does not replace the General Ledger when you need to know which entries created the balance.

Account type matters

A number only makes sense in the context of its account type. Cash, receivables, revenue, tax payable, inventory, and expense accounts can all carry balances for very different business reasons. Do not compare two accounts only because their amounts are similar.

Use with the Trial Balance

The Trial Balance focuses on debit-credit structure and account balances. Chart of Accounts Balances can provide a more account-structure-centered review. If either view reveals an unexpected account, move into the General Ledger for detail.
