# Send a quote and follow up

> Preview and send a customer quote, track response state, and use Lynka automation to surface quotes that need a decision or are approaching expiry.

After a quote is correct, the next job is to get a decision. Lynka keeps the quote document, status, customer context, validity date, and follow-up signals together so you do not have to manage the offer in a separate spreadsheet.

## Before sending

Preview the document and check customer identity, line items, quantities, prices, discounts, tax, currency, validity date, terms, notes, and total.

Once a commercial document has been sent or accepted, editing can be more restricted than editing a draft. Fix mistakes before the customer sees the document whenever possible.

## Send the quote

Use the available quote send or email action. Email availability depends on the workspace email/provider configuration. A provider connection failure should not be presented as a successful send.

If the message is sent through Lynka-hosted email, it may count toward the workspace’s hosted email allowance. If it is sent through a connected Gmail account, it uses the customer’s Gmail account instead and does not use the Lynka-hosted allowance. Google’s own sending limits and policies apply.

The quote status history records lifecycle movement so the workspace can distinguish draft preparation from customer-facing states.

## Follow-up signals

Lynka's built in Agreements automation catalog includes:

* **Quote waiting for response** for sent quotes with no decision after the configured number of days
* **Quote expires soon** for open quotes approaching the valid-until date
* **Quote expired without decision** for sent or viewed quotes that passed the valid-until date

These rules are more useful than manually scanning every quote each morning.

## If the customer accepts

Acceptance is a commercial decision, not payment. The accepted quote can move into the invoicing workflow. Lynka also includes **Accepted quote missing invoice** to catch accepted quotes that do not have a usable invoice when one is expected.

## If the customer asks for changes

Use the supported revision or edit flow rather than overwriting the history of what was originally sent. Quote revisions exist so the commercial record can preserve the document sequence.
